Working with Jill

How to talk to Jill

Jill is available through chat on every role. She responds in real time, just like a conversation with a human recruiter.

You can also reach Jill by email. She reads and responds to emails on each role, which is useful for quick updates and communicating when you’re on the fly. Each role has a different Jill agent associated to it, and therefore a different email address.

The Inbox

Your default landing page is the Inbox. It surfaces the most important updates across all your roles in one place — new candidates, introduction updates, and messages from Jill. Each item links directly to the relevant candidate or conversation, so you can take action without switching between roles.

You can filter the Inbox by role (including your pinned roles) and mark items as read or archived.

Multiple roles

If you’re hiring for more than one role, each role gets its own Jill with its own brief, search, pipeline, and configuration. Each Jill is only aware of the candidates within the scope of her role: she doesn’t have the context of the rest of your hiring pipeline. However, you can ask Jill to transfer candidates between roles.

Your dashboard shows all your roles at a glance. You can switch between roles using the sidebar.

Bulk import roles

If you have several open roles, you can import them from a careers page instead of creating each one by hand. From Add Role, choose bulk import, paste your careers URL or jobs page, and Jill will scan it for roles.

Jill shows you the roles she found before anything is created. Review the list, deselect anything you do not want to add, make small edits if needed, then click Add roles. Jill sets up each selected role in the background and will surface them when candidates are ready or when she needs input.

You can check active and past imports from Bulk imports on the roles page. If one role fails, you can retry it without restarting the whole import.

Pinned roles

If you’re managing several roles at once, you can pin your most important ones. A pin appears next to the role name in the sidebar. You can also filter your Inbox and other views by pinned roles, so you can focus on what matters most without scrolling through everything.

Changing how Jill works

You can change Jill’s brief at any point. Just tell her! If you want her to do something differently, say so, i.e. “Focus on senior candidates, we’ve decided to level this up.” Jill adjusts immediately.

Daily updates

Jill reviews each of your active roles daily. She checks for new candidates worth surfacing, pending introductions that need follow-up, and pipeline activity you should know about. If there’s something worth telling you, she’ll reach out in chat or by email, depending on your configuration.

Configure Role

Open a role’s Configure Role page to manage its settings. The sections are General, Notifications, Intro emails, Promotion, Team, and Integrations. On a narrow screen they may appear in a menu rather than a row of tabs.

General

Set the role’s public name — the title candidates see — and an optional internal name for your team. You can also stop or start hiring here. Stopping hiring closes pending introductions and removes the role from job boards. If Jill’s search needs recalibrating, use Reset search approach.

Notifications

Choose when Jill sends role updates, whether they arrive by email or Slack, and who receives email updates. At least one delivery path must stay on. You can also pause role updates.

Intro emails

Choose who receives candidate introduction emails and add a scheduling link (e.g. Calendly) for the introduction email.

Promotion

Control two separate ways the role reaches candidates: Allow top candidates to request intros and Promote on LinkedIn, Instagram, and Facebook. You can also anonymise the external role. Turning off promotion does not by itself turn off intro requests. A role that’s private to your team can still be promoted; Jill warns you before you enable that combination.

Team

Manage the people who can access the role. Visible to your team controls whether teammates can discover and join it. Where private roles are available, Make private limits access to existing members and organisation admins. See Permissions and Private Roles.

Integrations

Manage the role’s Slack connection and any available ATS integration. Available providers depend on your organisation’s setup.
